Placing Materials on Reserve
About
Prior to the beginning of each semester, the library staff members who organize the reserve collections send out a letter to faculty indicating the deadline for submission of the reserve list. If a reserve list for a course is submitted by the Tuesday before the beginning of the fall or spring semesters, and each summer term, then the items on the form will be available the first day of classes. If they are not, the lists will be processed in the order in which they are received. Lists accompanied by the items requested will be given preference. Each item shelved within the reserve collection must be assigned a loan period by the instructor. Loan periods available are: building use only, 2 hours, 1 day, 3 days, or 7 days. If a loan period is not indicated on the reserve list, then the loan period will automatically default to two hours. When reserve material is listed on a class syllabus, please include a copy of the syllabus.
You may turn in a reserve list along with your materials at the circulation desk of your library. Lists may also be submitted through campus mail, or as an attachment through email.
- LIBRARY BOOKS AND PERSONAL BOOKS
Library books placed on reserve will be filed by their titles as displayed by IRIS, and not by author, or the name of a chapter within the book. In the event that a library book requested for reserve is checked out, then a recall will be placed on the book by the reserve assistant.
Faculty may place personal copies of books, journals, videos and other multimedia on reserve. Faculty may also contact their subject librarian to request the purchase of a book that is not currently owned by the library.
Personal books will follow the same shelving procedure as library books. The UNL Libraries cannot guarantee the safety of personal books placed on reserve. If the item is checked out and overdue, the Libraries' overdue policies will apply and the procedure to retrieve overdue items will be initiated. If, despite our best efforts, the personal copy is stolen, the Libraries are not responsible for replacement costs.
Please limit the print reserve list for each class to 20 items.
Bound periodicals, reference books, and books acquired through Interlibrary loan may not be placed on reserve.
- UNBOUND MATERIAL/ELECTRONIC RESERVES
Non-copyrighted unbound material, including class notes, old exams, and chapter solutions will be scanned and placed on line on the library's Electronic Reserve page. Unbound copyrighted items will follow the same procedure as non-copyrighted items as long as the material remains within the realm of the fair-use copyright guidelines .
At the request of the instructor, the library will place a hardcopy on reserve in the reserve collection of the library in addition to the electronic copy. When checking out the hard copy materials, students should request the file by the departmental course name, course number, and instructor.
- J-STOR ARTICLES AND OTHER ELECTRONIC RESOURCES
Journal articles and electronic book chapters found on-line in E-Resources, Electronic Journal Finder , J-Stor , or other electronic formats may be easily linked to a course's electronic reserve page. Simply provide the stable url address of the article or chapter as well as the title of the work when making this request.
- ELECTRONIC RESERVE AND BLACKBOARD
Once the creation of a course page for electronic reserve is completed, the library is able to link it to Blackboard , or another home page designed for the course. The linking of the two pages provides students the convenience of accessing all of their course materials from one website. - INSTRUCTIONS FOR PLACING ITEMS ON ELECTRONIC RESERVE
The following guidelines will aid the electronic reserve assistant librarian in processing electronic reserve requests efficiently:
- All items submitted for placement on electronic reserve should be clean, single-sided copies, and no larger than 8 1/2 X 11 inches in length.
- When placing journal articles on reserve, please note the following: indicate journal title, date and/or volume for each article on the reserve list.
- When placing a book chapter, or small excerpts from a book onto reserve, please indicate the title of the book and the author(s) of the book's chapter.
There are three ways you may submit unbound material for reserve processing:
- Hand in the actual hard copies of the requested material to the circulation desk of your library or by campus mail.
- Provide a disk or cd/cd-r with the reserve material already on it.
- Send an email attachment in word, word perfect, text, or a pdf document to your library reserve assistant.
If you are placing pdf files onto a disk, please limit the size of each file to 1 megabyte, or not more than 12 pages per file. You may also request unbound material for reserve without handing in the hard copy or a disk, as long as the library owns it in its collection. Requests not accompanied by their materials will take longer to process.
- PROCESSING TIME
Lists are processed in the order received. After classes begin, preference will be given to the lists accompanied by the items requested. A reserve list may take one to four days for process. More time may be necessary for:
- Requests submitted on the 1st day of class and during the first month of the Fall and Spring semesters
- Requests with an incomplete citation
- Requests for materials currently unavailable
- Requests not accompanied by the materials
Instructors should not expect materials to be processed and available at the time of submission.
- ADDING MATERIALS TO A RESERVE FILE OR ELECTRONIC RESERVE
Requested items may be added to a course's electronic reserve page or hard copy file at any time throughout the semester or term. Additional requests follow the same procedures and guidelines as initial requests. Please allow appropriate processing time when adding items to reserve.
- REMOVING ITEMS FROM RESERVE
Reserve material may be removed at any time during the semester or term, per the instructor's request. All reserve material will be removed at the end of each semester unless other notification has been received. Reserve materials that do not belong to the library will be sent via campus mail to their owners. Copyrighted items may not be renewed for consecutive semesters unless a letter of approval from the publisher is submitted
